1. About BuPro USA (our company)
· We primarily cater to the medium and small business requirements.
We do financial accounting starting with the basic books, financial reporting, tax preparation and all the related jobs
– sales tax, payroll, payroll taxes etc.
· We work through CPAs & CPA firms, bookkeeping firms, Enrolled Agents and Financial Planners, and not directly with
the client for whom the accounting or tax work is done. The CPAs and others outsource their clients' bookkeeping
& accounting work and tax returns, besides tax returns of individuals.
· We do tax preparation and returns filing work for employees of companies who would need help with their tax filing.
· We work in a variety of packages for both accounting and tax preparation. We use predominantly QuickBooks (for accounts)
and Lacerte, ATX & Pro Series (for tax). Our delivery model however is independent of the package to be used.
· Our front office is in Slidell, Louisiana, headed by Mr Fred G Lake, a CPA/EA and a veteran of four decades plus
in the area of F&A and taxation. Fred plays the roles of business development, assistance in smooth migration
of outsourced jobs, and your local BuPro resource in case of any emergency.
2. The delivery model: Briefly, our delivery model is as follows.
· We have a secure application server with a workflow management system sitting in it, through which you can
control the work given to us.
· We recruit graduates in Accounting from reputed colleges and put them through an intensive four-week course
in US bookkeeping basics, Bookkeeping software, Taxation software and the workflow management system.
Once they clear the course successfully they will be able to take on work and deliver it to you.
· You create jobs through the system, upload the input documents, and give us access to your application.
· In the same way, through the system, we raise questions and get your clarifications on incomplete data or items
to be explained.
· We finish the work and submit the output documents for your approval.
· After you approve the output documents we complete the action on them (e g., filing of the tax return or quarterly
payroll returns) and communicate the completion of the job to you.
· The environment in which the work is done is totally secure, with your being able, at the same time, to control
and monitor the job progress.
· You will see that our model gives you great freedom and total transparency, coupled with security, which is a
rare combination.
3. Quality, Cost, Security and Turnaround time:
· We give you clear and quantifiable advantages in all the four key aspects of your business – quality, cost,
security and turnaround time.
a. Quality
· Our hierarchy of Operations personnel and a working tool we have built into the operation take care
of the first aspect – quality.
· We have, on top of the bookkeeper or tax preparer, a Team leader who does 100% quality check
and onsite guidance; and on top of team leader we have a reviewer who raises input issues with
you early on, to avoid doing a mediocre job, and does an American-type review of the job output
to guarantee it meets with the requirements you have specified.
· The Book of Knowledge or BoK is a working tool that we have developed to assist the Operations personnel
in ensuring consistent quality. The BoK contains the procedures for every client’s work to be done, and is updated
regularly.
b. Cost
· We have a simple system of charge for the services rendered: we bill you 25% of your client billing,
depending upon the complexity and level of our role in the work, and we freeze this upfront.
· Similarly, in respect of employees’ tax returns, we charge a flat fee of $40-$50 per return, depending
upon the presence of income from other sources, and other intricacies, such as need for manual filing.
The fee has no bearing on the refund receivable.
· This method, based on service delivered instead of hours worked, brings clarity to you in terms of what
you have to pay for the work.
c. Security
· Security of client data is a matter of primary concern for you, and equally for us. We have in place
a secure server that cannot be accessed from outside, and we avoid use of mail unless it is essential
and not likely to have side effects. The whole work is processed on the server, in QMS, the dataflow
management system we have specially developed.
· Great care is taken in the process of hiring employees, and inside Operations we do not permit
mobiles, writing instruments or other ways by which data safety could be compromised.
d. Turnaround time
· We work on the maxim “In by 9, out by 9”. This means:
· You, our customer, load your client’s job to us by or before 9 pm in the night.
· Our morning starts around this time, and so we begin processing the job.
· Unless we come up with insufficient or unclear data or work instructions, we ensure the output, duly
checked and reviewed, is available for you to see and approve by 9 am the next morning.
e. Speed enablers
· Two additional features of our model give you further guarantee of a perfect turnaround with almost
no loss of time.
· If you check into the QMS some time after you have created the job, you may find questions from the
Team leader which you can answer before you go to sleep.
· Our night shift ends at 10 am your time, and so you get one more hour to get the output clarified if
necessary.
